1. introduction

Confidentiality and the protection of our clients' privacy are particularly important to our notary's office. We (the controller) would like to inform you below about what information we collect when you visit our website and how personal data is used. Personal data is all data that can be related to you personally, e.g. name, IP address, e-mail address, account data, family relationships, ownership structure and user behavior.

3. automatic storage of data by visiting our website

When using the website for informational purposes only, we only collect the personal data that your browser transmits to our server and that is technically necessary for us to display our website to you and to ensure stability and security. The following information is collected:

The data is also stored in the log files of our system. This data is not stored together with other personal data of the user. The data is deleted after seven days at the latest.

The legal basis for the processing of the data is Art. 6 para. 1 lit. e) GDPR.

When you contact us by e-mail or via a contact form, the data you provide (your e-mail address, if applicable your name, the topic and your telephone number) will be stored by us in order to process your request and, if necessary, to arrange an appointment with you.

Our website is linked to a button for online data collection, which you can use to send us data via an online form. If you use this online service from NotarNow (LegalNow GmbH, Lena-Christ-Str. 2, 82031 Grünwald, Germany), your details, including the contact details you provide there, will be automatically stored on the NotarNow servers for a short time for the purpose of processing the request and in the event of follow-up questions and then forwarded to us. Data transmission is encrypted using transport encryption via Secure Socket Layer (SSL/TLS). The data is stored solely for the purpose of processing or contacting the data subject. The data will not be passed on to other third parties. The legal basis for the processing of the data is Art. 6 para. 1 lit. e) GDPR. The data you enter in the online form will remain with us in accordance with the mandatory legal provisions - in particular retention periods. When using the "Save / share form" function, your online form entries are encrypted and stored anonymously for 30 days. If the online form is not sent to us within these 30 days, the form entries will be deleted automatically. A request for deletion on your part is not necessary in this case.
Please note that the confidentiality of information sent by e-mail cannot be guaranteed. We therefore recommend that you only send us confidential information by post. If you send us data via the contact form, this data will be transmitted to us using SSL encryption and stored on our servers as part of the data backup process. Your data will only be used by us to process your request. Your data will be treated as strictly confidential.

Our website is technically maintained by an IT service provider as an external recipient of data processing on our behalf and in accordance with our specifications.

6. approach

Use of Google Maps

The Google Maps service (a service of Google Ireland Limited Gordon House, Barrow Street Dublin 4 Ireland) is integrated on our website. This means that interactive maps are only displayed directly on the website and you can use the map function directly after you have given your prior consent (the legal basis for processing the data is Art. 6 para. 1 lit. a) GDPR).

Through this use, Google receives the information that you have accessed the corresponding website and subpage. Personal data may be transferred to countries such as the USA, which do not have a level of data protection comparable to the GDPR. If you have given your prior consent to the use of the map function, Google will process personal data, in particular your IP address and location data.

This takes place regardless of whether Google provides a user account via which you are logged in or whether no user account exists. If you are logged in to Google, the data will be assigned directly to your Google user account. If you do not wish to be assigned to this Google profile, you must log out of your Google user account before activating the button. Google stores data as user profiles and uses them for the purposes of advertising, market research and/or needs-based design of the website. Such an evaluation is carried out in particular (even for users who are not logged in) to provide needs-based advertising and to inform other users of the social network about the user's activities on this website. The user has the right to object to the creation of such user profiles and must contact Google to exercise this right.

Please contact us at any time if you would like to find out what personal data we store about you or if you would like to have it corrected or deleted. Please understand that requests for information from us may only be answered if this does not conflict with notarial professional secrecy in accordance with Section 18 BNotO. Furthermore, you have the right to restrict processing (Art. 18 GDPR) and the right to object to processing (Art. 21 GDPR).

The right to data portability does not exist in accordance with Art. 20 para. 3 sentence 2 GDPR if the data processing serves the performance of public tasks. You also have the right to contact a data protection supervisory authority if you are of the opinion that the processing of your personal data is not lawful.

In all other cases, the processing is based on our legitimate interest in the effective processing of the inquiries addressed to us (Art. 6 para. 1 lit. f GDPR) or on your consent (Art. 6 para. 1 lit. a GDPR), if this has been requested.

We will retain the data you provide on the online form until you request its deletion, revoke your consent for its storage, or the purpose for its storage no longer pertains (e.g. after fulfilling your request). Mandatory statutory provisions - in particular retention periods - remain unaffected.

When using the "cache" function, your online form entries are encrypted and stored anonymously for 30 days. If the online form is not sent to us within these 30 days, the form entries will be deleted automatically. A request for deletion on your part is not necessary in this case.

We take all necessary technical and organizational security measures to protect your personal data from loss and misuse. Your data is stored in a secure operating environment that is not accessible to the public.

This website uses SSL or TLS encryption for security reasons and to protect the transmission of personal data and other confidential content (e.g. orders or inquiries to the controller).
